Quality control

The program enables you for the conduction of quality control of the supplied assortment.

The control process begins after the confirmation of an external delivery document for the assortment with a selected quality control. In the Quality control module, the information about a new batch pending for control automatically appears. Simultaneously, the batch is blocked to prevent a release of the assortment that is not subjected to the quality control. In stock, the overall balances increase and the quantity is blocked. In the batch specification, a symbol of blockade is visible as well as the status of the batch and the quality control).

During the control of the assortment, you can:

• get familiar with the procedure according to which a control should be performed.
• specify defects which were detected during the control together with the description of the defected number of assortment.
• distinguish the batches with the status specification, informing you about the control results and allowing you for the assortment's use.

Particular assortment groups can have a different control procedure and different defects. Hence, it is possible to define many quality control groups. You can define a different control procedure and defects which can occur for every group and.

In order to define a quality control group:

1. In the module Warehouse choose Balances,
2. Choose one assortment and click on Edit,
3. Go to the tab Batches,
4. In the box Group click Choose from the list (the icon presents a magnifying glass),
5. Click Add on the quality control list,
6. Fill in a New group of the quality control card and click Confirm,
7. Click Add in the tab Defects,
8. Fill in the card New defect of the assortment and click Confirm.

In order to enable the quality control of the assortment:

1. in the module Warehouse choose Balances,
2. choose assortment which should undergo the quality control during the reception and click Edit,
3. go to the tab Batches,
4. switch the option:
   • Necessary reservation from the batch at the time of the document confirmation or creation,
   • Quality control needed during the reception of the assortment,
   • Choose a Control group,
5. Click Confirmation.

This function initiates the quality control, generates the control quality document, changes the status of the control from Pending to Initiated, it enables you for entering the quality control result and, if necessary, it allows you for choosing an appropriate batch.

The function deletes the control quality document, changes the status from Started-up into Pending. The results of control will be deleted, and should the need arise you can edit the external delivery document. After deletion of the control, the batch is pending for the restart.

This function allows you for marking the batch that undergoes control with the chosen status. The given status is visible later, at the stage of the assortment's release. You should remember that a Defected assortment status blocks the batch from release. Only a return to the supplier is possible.

This function finishes the quality control, it changes the control status from Initiated into Finished, prevents from other editions of the control result and a change of status of the controlled batch. After finishing the control, the batch marked as Defected assortment is blocked. From the remained batch, the blockade is removed and from now on, it is available in stock.

The function allows you for withdrawal of the finished control, changes the status from Finished into Initiated. Edition of the quality control is possible.

In order to initiate the quality control:

1. In module Warehouse choose Batch quality control
2. Choose the warehouse, where the reception took place
3. Choose the controlled batch of assortment
4. Initiate the control by clicking Start up
5. Familiarize with description of the quality control procedure enclosed in the tab Procedure

In order to insert the results of the performed quality control:

1. Insert the control results by choosing Add on the quality control note - the results of the control consists of defects that were detected in the received assortment,
2. Choose a defect if it was detected during the control,
3. Define the number of items, where the defect was found,
4. Add other detected faults and confirm them by using the quality control note. If needed, a list of detected defects can be edited by selecting the button Initiate or Add in the Control results tab.

In order to finish the quality control:

• If no defects were found in the received batch, click on Finish. The batch will be given Allowed status and the control status will change into Finished.
• If the control was omitted or the minor defects were found in the batch, but they allow for the use of a whole batch:
  1. give the batch an appropriate status by selecting Mark as,
  2. choose an appropriate status,
  3. finish the control by clicking Finish,
• If, due to the detection of defects, you want to select a part of the batch and mark it with a particular status:
  1. move to the tab Batches
  2. click Add
  3. status for the selected (e.g: defected) batch
  4. specify the selected quantity and click Confirm
  5. if there is such a need, select other batches with a different status
  6. end the control by clicking Finish. When some quantity was left which does not have any status, automatically the status Allowed will be ascribed to it.

Procedure

This tab informs you about the way, in which you should conduct the quality control. A person who is responsible for the conduct of quality control is given prompts. The content of the procedure is defined by edition of the Quality control group.

Control results

The tab allows you for specifying defects that were detected during the quality control. The choice of defects is on the list, which has to be earlier defined by editing the Quality control group.
